Privacy & cookies policy

The short version: we collect the minimum, we set no advertising or tracking cookies, we run no analytics, and we never sell or share your data. The long version follows. Last updated 10 August 2026.

01 · Who we are

Data controller

CloudWise-IT ("we", "us") is the data controller for personal data collected through cloudwise-it.co.uk and cw-it.co.uk. To contact us about anything in this policy, use the details in section 08.

02 · What we collect

The data, and why

Callback form. If you request a callback we collect your name, company, email address, phone number and message. We use it to respond to your enquiry and for no other purpose. Lawful basis: legitimate interest (responding to an enquiry you initiated), then contract if you become a client.

Cookie choice. Your Accept / Essential-only choice is stored in your own browser (localStorage), not on our servers. It contains no personal data — only the word "all" or "essential".

Approximate location (optional). If — and only if — you choose "Accept" on the cookies notice, your browser makes one request to the geolocation service ipwho.is, which uses your IP address to estimate your town or region. We use the result solely to display the CloudWise-IT phone number nearest you. We do not store the result, and no location lookup happens if you choose "Essential only".

Direct contact. If you email or call us, we hold the correspondence for as long as needed to deal with it, and for our records if you become a client.

Server logs. Our hosting provider (Hostinger) keeps standard technical logs (IP address, pages requested, browser type) for security and capacity purposes, as virtually all web hosts do.

The complete list

One item, stored in your browser's localStorage: cw-consent — records whether you chose "Accept" or "Essential only", so we don't ask you on every page. It never leaves your browser and expires when you clear your browser data.

05 · Who we share data with

Processors

Hostinger (website hosting, server logs) and — only with your consent — ipwho.is (approximate location from IP, not stored). If you become a client, data may also be processed in the systems we use to run support (ticketing, email), under contract and UK GDPR safeguards.

06 · Retention

How long we keep things

Enquiries that don't become client relationships: deleted within 12 months. Client records: for the duration of the engagement plus the period required by law (typically 6 years for contractual records). Your cookie choice: lives in your browser until you clear it.

07 · Your rights

Under UK GDPR

You have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to our processing of it, and to data portability. To exercise any of these, contact us using the details below — we respond within one calendar month. If you're not happy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
